Sharing medical records safely, across borders

Before any opinion, quote or journey, your medical records have to move — and how they move is a test of everyone involved. Records are the most misuseable identity documents that exist, and in medical travel they routinely cross three borders and four inboxes. This guide covers what to send, what never to send by ordinary channels, and the three questions that tell you whether an organization actually protects what you sent.

What to send — a focused dossier beats a data dump

  • The core reports: diagnosis documents, discharge summaries, the current treatment plan.
  • Imaging: the radiology reports — and the imaging files themselves (CD/DICOM or secure upload) if the reviewer should re-read them independently.
  • Labs and medicines: recent lab results and the current medication list.
  • Pathology, where it matters: biopsy reports — and slides or blocks for re-review if the case hinges on them.

One practical rule: if a reviewer cannot act without a document, it belongs in the dossier; if it merely could be relevant, ask first. Minimizing what you send is the least expensive data protection there is.

What never travels by ordinary channels

Unencrypted email attachments, forwarded messaging-app files, and web forms that accept uploads without stating their security. Once forwarded, records cannot be recalled — and the failure is permanent. Ask how files rest, who can open them, and when access expires before you send anything. If the answer is a shared inbox, you have your answer.

How we handle records, stated precisely

We protect your medical records with encryption in transit and at rest, single-use per-case access links, full access logging, strict data-minimization, and a documented breach-response procedure — security practices aligned with the data-security principles of the EU GDPR and India’s Digital Personal Data Protection Act. Nothing sensitive travels through our website form or by email — after first contact, you receive a single-use encrypted upload link, and the details are on our privacy policy.

Records safety: FAQs

What should I actually send for a first opinion?
Reports and summaries first, not raw files: the diagnosis documents, latest imaging reports (plus the imaging itself if the reviewer will re-read), recent labs, and your medication list. Keep identifiers to what the reviewer needs. A focused dossier gets a better opinion than a 400-megabyte dump — and leaks less if something goes wrong.
What should never be sent by ordinary channels?
Unencrypted email attachments, messaging-app forwards and web forms with file uploads that do not state their security. Medical records are the most misuseable identity documents that exist; once forwarded, they cannot be recalled. Send them only over channels that encrypt them, log access, and let access expire.
How does Medtu Care receive records?
After we first connect, we send you a single-use encrypted upload link — AES-256 encryption at rest, tokens stored only as hashes, full access logging, and access that expires. We protect your medical records with encryption in transit and at rest, single-use per-case access links, full access logging, strict data-minimization, and a documented breach-response procedure — security practices aligned with the data-security principles of the EU GDPR and India’s Digital Personal Data Protection Act.
What should I ask any facilitator about my records?
Three questions: Where exactly do my files rest, and who can open them? Is access logged and time-limited, or does it live in a shared inbox? And what is deleted after the case — and when? Vague answers to any of the three are a finding, not a footnote.
Do I need to worry about records if I never travel?
No — and that is rather the point of the second-opinion lane: the records move, the patient stays. The same protections apply in both directions, which is why the records-safety question belongs in every first conversation with any facilitator, including us.
