Questions to ask a medical travel facilitator

Before you pay any facilitator anything, ask these twelve questions — in writing. They compress the relationship into who pays, who decides, and who answers when something breaks. Our own answers are linked at the end, so you can hold us to the same standard you hold everyone else.

The money

  1. Who pays you — hospitals, doctors, agents, platforms, or only me? In any form, including referral fees, commissions and listing fees.
  2. Do you add any markup to hospital quotes? Can I see the hospital’s own invoice?
  3. What exactly do I pay you, published where, and what triggers each payment?
  4. What is refundable if I change my mind, if the visa is refused, or if I land and decline treatment?

The clinical layer

  1. Who actually reviews my case, and what are their qualifications and medical-council registration?
  2. How do you choose the hospitals on my shortlist — and what would exclude a hospital?
  3. Will I speak with the treating specialist before I fly, and how is that arranged?
  4. Who is accountable if something goes wrong during the journey?

The logistics

  1. What exactly do you handle — visa invitation letters, attendants’ letters, airport pickup, accommodation, interpreters — and what do I handle?
  2. How fast do you respond, published where, and what happens on weekends?
  3. Can I see a sample itemized quote and a sample contract before paying anything?
  4. What happens to my medical records — who can access them, and for how long?

Our answers, for comparison

Who pays us?

Only our patients, at published flat fees. We take no commissions from hospitals. Our fees are paid by you, published upfront, and itemized separately from your hospital bill. The full model comparison.

Who reviews cases?

Consultations and written opinions come from specialists in our doctor network — qualifications, council registration and practice are published on each doctor profile. The doctor network.

How fast do we respond?

We respond within four business hours. We are a small team — on weekends, expect a reply within one business day. Published fees and rules.

Records?

Records move over single-use encrypted links with full access logging; nothing sensitive travels by form or email. Records safety guide.

The checklist: FAQs

Why twelve questions?
Because they compress the whole relationship: who pays, who decides, who answers when something breaks. A facilitator who answers all twelve in writing — with specifics, not reassurance — has shown you more than any brochure can. Any question that cannot be answered in writing is the answer.
Should I ask these questions even for small coordination work?
Especially then. Small jobs reveal the model cheaply: a facilitator who answers the money questions squarely about a $50 consult will answer them squarely about a $1,000 journey. The model does not change with the ticket size — or it should not.
Can I use this list for hospital international desks too?
Yes, with one addition: ask the desk which hospitals it can recommend other than its own. The honest answer defines the difference between advice and a sales channel — which is a structural fact, not a judgment about any group’s clinical quality.
